The Analyst, Human Resources Business Services Center - Recruiting performs tasks related to analysis, execution, and support of HR transactional service delivery within the shared services center. He/she maintains the utmost confidentiality in dealing with employee records and business information. He/she will work independently and may assist the supervisor or manager with special tasks such as the development and delivery of HR processes training or reviewing the work of Coordinators. He/she ensures that deliverables meet or exceed individual objectives, adhere to HR Business Service Center goals, and align with service center strategies.
The principal responsibilities include:
Recruiting Administration: Review requisitions for completeness/accuracy for posting in the system. Follow up on any missing or incomplete information if necessary. Respond to recruitment inquiries from internal candidates and assist the Recruiting specialist group with external candidate inquiries as requested. Compile and send approved offer packages to selected candidates. Perform recruiting due diligence (background checks, drug/health screening, driving record, and other related new hire documentation). Assure completeness, accuracy, and compliance of all recruiting documentation and clear for hire. Process at-hire payments (employee referrals, signing bonuses, university payments) as needed and assure adherence to company policy and procedure. Manage and monitor daily interfaces to assure they have run successfully and according to requirements. Review, research, and correct errors if possible, and work with internal IT or external third party providers if necessary. Assist the manager with assuring that third party vendors perform according to service level agreements in support of recruiting processes (e.g., managing background checks and other recruiting due diligence, drug screening, driving record check, etc). Handle more complex and/or confidential inquiries/requests and assume ownership of transferred/escalated issues from Coordinators, following established processes. Ensure all company, federal, state, local, and other applicable compliance requirements are met. May provide guidance to Coordinators, review work, or approve transactions. l) Work with the internal Enterprise Operations team and vendors to identify and correct problems and implement fixes. Review and update of HR services documentation. Partner with the Service Center documentation team to organize and facilitate maintenance of documentation (e.g., Standard Operating Procedures, Work Instructions) to ensure complete, accurate, and up-to-date depiction of processes.
Business Improvement & Alignment: Assure understanding of recruitment administration team objectives and broader strategies. Review, follow, and provide input to HR business service center team objectives. Provide ideas, solutions, and tools to increase the effectiveness and efficiency of HR service processing. Assist in the review of metrics to drive performance, identify trends, and propose process improvements. Escalate issues and recommended resolutions to management as appropriate. Assist the manager with capturing and responding to escalated issues, policies, and procedures from government agencies, payroll functions, and the operating companies.
Teamwork and Individual Development: Communicate regularly with manager, team members, and appropriate stakeholders regarding task or project status and opportunities to improve service levels or processes. Escalate issues as appropriate to ensure quality service levels. Participate in and support departmental initiatives. Seek feedback, continuously learn, and take advantage of opportunities to improve knowledge, skill, and experience. Monitor results to improve effectiveness and efficiency. Assist others where possible for the good of the team and department. Adhere to company, department, and team standards of professionalism and protocol. This role will work directly with employees and managers of J&J. He/she will deal with confidential, HR sensitive data and must assure conformity with policies, procedures, and regulations of J&J and external governments and agencies. He/she will also perform other duties as assigned.
REQUIREMENTS - QUALIFICATIONS: Analyst, Human Resources Business Services Center - Recruiting (1 of 2)
A BA/BS is strongly preferred. A minimum of 3 years of Human Resources or business related experiences is required. Previous experience in HR processing (recruitment preferred; other experience in employee data management, compensation, or benefits administration also considered), preferably for a large multi-state company as an analyst or coordinator. Experience in a shared service center environment preferred. Demonstrate a basic understanding of HR processes, procedures, controls, regulations, and compliance requirements. Proficient analytical and problem solving skills required. Attention to detail a must. Proficient verbal and written communication skills in order to communicate with customers, peers, and vendors. A sense of urgency in solving customer requests to ensure timely resolution and an ability to work under pressure, multi-task, and meet deadlines. Demonstrate a high degree of confidentiality and sensitivity to compliance-related matters. Able to process complex information and identify solutions that meet both internal and business partner requirements. Demonstrate a pragmatic approach. Proficient interpersonal skills and the ability to successfully work with internal stakeholders and colleagues to contribute ideas, identify opportunities, and contribute to positive outcomes. Knowledge of standard business practices and professionalism in a customer service environment are essential. Ability to excel in a team based environment, demonstrating customer service and teamwork. Experience working through conflict to reach a successful resolution. Demonstrate ability to disseminate knowledge and techniques. Experience with an ERP system required (HR modules of SAP preferred). Experience with MicroSoft tools and applications required.
